Duct Cleaning for Office Buildings: What Facility Managers Should Plan For

How facility managers can plan office duct cleaning around tenants: signs it's due, after-hours scheduling, working by zone, and getting a fair quote.

In an office building, the ductwork serves everyone at once. When it's dirty, tenants notice: dusty vents, stale air on Monday mornings, complaints that one end of the floor never feels right. When it's time to clean it, the real question for a facility or property manager isn't whether. It's how to get it done without disrupting the people working there.

Signs an office system is due

  • Dust building up on supply diffusers and the ceiling tiles around them
  • More tenant complaints about stuffiness, odors, or allergies
  • Uneven airflow between rooms or zones on the same system
  • A recent build-out or renovation on any floor the system serves
  • No record of when the ducts were last cleaned

Planning around the people in the building

Timing. Most office jobs are best done after hours or over a weekend, so the work happens while the space is empty and the system can be shut down without anyone noticing.

Working in sections. Larger buildings are usually cleaned one zone or floor at a time. That keeps each night's work contained and lets the rest of the building run normally.

Protecting the space. Offices have furniture, electronics and paperwork under every vent. Ask any contractor how they cover work areas and keep loosened debris from blowing back into the rooms.

Records. If you report to an owner or a board, ask for before-and-after photos and a short summary of what was cleaned. It makes the next budget conversation much easier.

Getting a quote you can compare

Office pricing depends on square footage, the number of air handlers and zones, how accessible the ductwork is above the ceiling, and the hours the work has to fit into. A walkthrough is the only way to give you a real number, and it lets us plan the schedule around your tenants from the start.

If you manage a school or college building, many of the same principles apply, with a few differences around academic calendars. We cover those in our guide to commercial duct cleaning for schools and colleges.
